Security Strategies for HIPAA

Logging into the system:

Noah System provides a tool to allow each person using Noah System to have a unique identity. To allow initial access to the software, HIMSA provides the user the default user name “ABC”. Many users continue to use this as a default Login despite the fact that their initials are not ABC. More problematic than the misrepresentation of provider identity is the fact that when multiple users all log in as ABC, it is impossible to track which provider saw the patient.

The following steps are recommended to improve security and accuracy of activity tracking:

  • Create a unique Noah ID and password for all employees using Noah System
  • Establish a policy that all users log out of Noah before leaving the workstation
  • Use a screensaver with password support enabled
  • Lock the computer whenever the user leaves the workstation
  • Enable the Noah Login (this requires each user to supply both a user name and password to access Noah System).
  • Set the view of Noah System to prevent the possibility that a person passing the workstation will see a list of patient names.

User access:

As described above, Noah System provides a tool to assign user rights to one of three groups: Administrator, Level 1 and Level 2. As with other software programs, administrators have unrestricted access to the system. It is advisable that no more than two individuals be given administrative rights.

Other users should have user rights consistent with their job description. For example, a receptionist needs to be able to enter patient data, but should not be able to export client data or install fitting modules.
