Exporting client records - all or subsets
- Open NOAH System. In the Client Register, click File > Client Export. The Export Clients window opens.
- Click Next.
- In the Export type window, select from the options:
- ....(native NOAH 3 format): This data can be imported into another NOAH database.
- ....(comma-separated format): This data can be imported into a spreadsheet or database for simple data analysis, or into a word processor for mail merge. Choose from among demographic, fitting instrument or fitting remote data.
- ....(XML format): This data can be used by academic and research facilities requiring more extensive data analysis.
- Click Next. The available options depend on the export type you chose in step 3:
- ....(native NOAH 3 format): The Export Client window opens.
- To export by group, check Group number. Use the pull-down menu to select a group. Click Next.
- To export all clients, check From the selection list. Press Ctrl A. Click Next.
- To select most of the clients, check From the selection list. Press Ctrl A. Then hold down the Ctrl key and click on the clients you wish to omit. Click Next.
- To select a few of the clients, check From the selection list. Hold down the Ctrl key and click on the clients you wish to include. Click Next.
- ....(comma-separated format): The Save As window opens.
- ....(XML format): The Export Client window opens.
- To create one file containing all records, select Export to a single file. Click Next.
- To create multiple files, each containing data for a single client, select Export to multiple files. Click Next.
- The Save As window opens. Enter a name for the file. Use the pull-down menu to select a location for the file. Remember this location as you will need it later when you import the file. Click Save. The Export Clients window opens.
- Click Finish. When all clients are exported, click OK.
Importing client records
- Open NOAH System. In the Client Register, click File > Client Import. The Import Clients window opens.
- Click Next.
- In the Type of data to import window, select from the options. Select the same format as used when the export file was created.
- Click Next. The Save As window opens. Use the pull-down menu to locate your file. Click Open.
- You may see some extra information windows:
- New users in database: If the import file contains records that were created by a user not currently in the database, click Add Users, then click Next.
- Duplicate records: If the import file contains records that already exist in the database:
- To add new information from the imported file to the existing record: Click Merge to merge the displayed record, or Merge All to merge all records.
| NOTE: This command only adds information to existing record fields which are blank, and only adds actions that do not already exist in the database. Existing information is NOT changed. |
To replace the information in the existing record with the imported file: Click Replace to replace the displayed record, or Replace All to replace all records.
To create a new client record from the imported record: Click New. If you are using manual client numbering, NOAH will ask you to enter a new client number.
To skip importing the client record: Click Skip.
To cancel the entire import, click Cancel.
Click Finish to complete the import.
Click OK when all clients have been imported.
